Payment, Cancellation and Refund
1. Booking Amount : Once the participant has decided on a particular activity we will give our quote for the said activity. If the participant is happy with the quote and wants to book the event he needs to fill the booking form along with the indemnity bond. He needs to submit the forms along with 20 % of the quoted price to the firm. Balance 80 % of the quoted price needs to be paid before start of the event. The start of the event in our case is the pickup point mentioned in the itinerary like Delhi/ Chandigarh, etc.
2. Cancellation by the Participant before the start of the activity: In case the participant for any reason does not want to join the activity, the refund of the booking amount would be processed as per deduction guidelines given below: –
(a) Cancellation upto 30 days prior to departure date : 20 % deduction.
(b) Between 30 days to 15 days prior to departure : 50 % deduction.
(c) Less than 15 days of departure : No refund.
All cancellation refunds will be processed back to the bank account from which the activity charges had been paid.
3. Cancellation by the Firm before the start of the activity : Firm reserves the right to cancel any booking or change any of the facilities, services or prices given in our brochures or website. We will advise the participant in case such a situation arises or we have to change the itinerary. The itinerary given on our website is of indicative nature and may need changes due to conditions beyond our control as explained earlier on the activity page. In case we change/ cancel the activity offered, the participant will have the choice of either:
(a) accepting a replacement activity from us of equivalent or similar nature and price, if we are able to offer one.
(b) cancelling your activity, in which case you shall receive full refund of the amount paid.
4. Cancellation by the Firm after the start of the activity : There may be occasions where and individual/ team departs for the activity and :
(a) There is change or cancellation of the activity due to circumstances beyond the control of the firm like natural calamities, closer of the activity by Government order, firm will not refund any amount.
(b) There is change or cancellation arising otherwise; firm will make suitable alternate arrangement wherever possible. If firm fails to make alternative arrangement or you reject the same for good reason, then the firm will return you to your point of departure. The refund amount will be the amount paid minus the amount utilized from the point of departure to the point of return and back to the departure point.
5. The participant drops out in between the activity : The firm will not be making any refunds in such a situation. The participant will have to pay additionally for unplanned expenses on retreat on actual basis. In case retreat is not possible, the same cannot be forced upon the firm by the participant.
6. Early/ delayed return from an activity by the participant : In case the participant returns early from the activity due to the activity being completed earlier than estimated or natural calamity or any other reason, there will be no refund of any amount. In case of delayed return the participant will have to pay for the extra services availed.
7. Emergency Evacuation : In case of emergency evacuation of the participant due to any reason/ injury, the firm will make arrangements for safe evacuation. The additional expenses incurred, that of personal/ equipment/ vehicles and doctor charges/ hospitalization etc will be borne by the participant.
